Liga Studenților din Facultatea de Automatică și Calculatoare (Liga AC) — The students’ organization from the Faculty of Automation and Computing at Politehnica University of Timișoara, residing in Timișoara, Timiș County, Romania, Blvd. Vasile Pârvan, no. 2, room A021, Tax Identification Number (TIN) 7267553, acts as the official "Controller".

In accordance with Regulation (EU) 2016/679 (General Data Protection Regulation – "GDPR"), the Controller implements appropriate technical and organizational measures to safeguard personal data and is subject to the oversight of The National Supervisory Authority for Personal Data Processing (ANSPDCP).

Personal data is processed strictly in accordance with Article 6 of the GDPR under the following specific grounds:

Data collected by Liga AC during UniHack is processed exclusively for:

• Executing hackathon administration, team matchmaking, and participant check-in.
• Facilitating catering, special dietary arrangements, and apparel (t-shirt/swag sizing).
• Distributing awards, travel reimbursements, hardware lending, and competition certificates.
• Providing operational updates, schedules, mentor matchmaking, and announcements during the event.
• Compiling non-nominal statistics to measure community reach, gender diversity, and socio-civic impact.
• Fulfilling statutory accounting, financial auditing, and sponsor project justification requirements.

Data may only be disclosed to authorized internal organizers, accredited accounting advisors, or legitimate institutional public bodies upon official request (such as ANPCDEFP, Timișoara City Hall, Timiș County Council, the Ministry of Education, and Politehnica University of Timișoara) for statutory funding settlement.

Special Category Data (GDPR Art. 9): Any sensitive data (such as dietary health restrictions) is collected solely upon explicit voluntary consent and processed exclusively to guarantee participant safety and well-being at the venue.

The storage duration of personal data is limited to the period necessary to fulfill contractual commitments, settle any potential post-event claims, and comply with mandatory legal requirements:

• Participant Records: Stored for up to 10 years in compliance with Romanian youth project archiving standards or until the data subject requests its erasure.
• Accounting & Financial Documents: Retained for statutory periods prescribed by Romanian fiscal law.
• Non-Personal Aggregate Analytics: Preserved indefinitely to chart the multi-year history and growth of UniHack.
